WhatsApp, run properly.

Most appointment businesses already do everything over WhatsApp — on a personal phone, with no history and no cover when that person is off. Inqloop moves it onto the business account, into a shared inbox, with the routine messages automated.

A shared inbox

Conversations belong to the business, not to whoever happened to answer. Anyone with permission can pick up a thread, and the history is there.

  • Threads update live — a customer reply appears for whoever has the inbox open.
  • Internal notes on a conversation, visible to the team and never to the customer.
  • The customer record sits alongside the thread: their bookings, packages, membership and balance.
  • Approved templates for the messages WhatsApp requires them for, so the first message out is not blocked.

Automations

Each of these is switched on per business and off by default. They are the messages you are already sending by hand.

  • Booking confirmation — sent when the appointment is made.
  • Appointment reminder — before the visit, at the lead time you set.
  • Reschedule and cancellation confirmation — so a change is never ambiguous.
  • Consent forms — sent ahead of treatments that need one.
  • Aftercare instructions — after the visit, per service.
  • No-show recovery — a follow-up when someone does not arrive.
  • Drop-off recovery — for people who started booking and stopped.
  • Lead capture — turns an enquiry into a contact record.
  • Marketing opt-in — asks properly, and records the answer.

The assistant

The assistant answers common questions and takes bookings inside the conversation. It works from a prompt you configure — your services, your hours, your policies, your tone — rather than a generic script.

  • It books against the same availability engine as everything else, so it cannot offer a slot that is gone.
  • It hands over to a person when it should, and the thread stays in the same inbox.
  • You can turn it off entirely and keep the inbox and automations.

Campaigns

Marketing sends are separate from service messages, and treated more carefully. Consent is recorded per customer, per business and per channel, and is checked at the moment of sending — so someone who opts out after a campaign is scheduled is still excluded.

  • Audiences built from labels, lists or booking history.
  • Per-recipient delivery status, including the reason anyone was skipped.
  • Large sends are paced rather than burst, to stay inside messaging limits.
  • The same campaign can go by email instead, for customers who prefer it.

What you need

A WhatsApp Business account connected to Inqloop. Message templates for the notification types go through WhatsApp's own approval — that is Meta's process, not ours, and it is worth starting it before your first campaign rather than on the morning of it.
